DUA Clerk (Agricola Archives) - (C5) – MacRae Library, 4 month Term


The Dalhousie University Archives is a multi-faceted department within the Dalhousie Libraries and holds, within its collections, some of the most unique and valuable archival materials that exist in the province.  The Agricola Archives, housed in the Macrae Library, documents both the history of Dalhousie University and a wide variety of activities within Nova Scotia and Atlantic Canadian society. Its holdings include significant manuscript holdings related to current and former Dalhousie Faculty, Agriculture, agricultural education, extension work, and associations, as well as a variety of other areas of study.


The DUA Clerk (Archives) reports to the The MacRae Library Manager (and Archives Specialist) and assists in the day-to-day operations of the Agricola Collections.  The position processes archival materials as directed; responds to reference inquiries on the Access Services desk, as well as e-mail and telephone queries; and ensures the ongoing preservation of existing collections.



The activities of the DUA Clerk (Archives) will include:


¨      Accessioning new material received into the Archives and overseeing the preliminary arrangement and description of all new material received into the Department.

¨      Undertakes physical arrangement and description of collections in accordance with current Canadian archival standards (e.g., RAD) for various collections, working on the arrangement and description, rehousing of material, and the creation of multiple levels of descriptive metadata and archival subject headings to AtoM, the Archives online holdings system.

¨      Answers mail, e-mail and telephone queries from Dalhousie students, faculty, and staff as well as outside researchers.

¨      Photocopies and digitizes material requested by researchers and creates invoices.

¨      Responsible for creating and setting up thematic archival displays (3/year).

¨      Responsible for re-shelving archival material pulled for researchers.

¨      Oversees the confidential destruction of material culled from the archival holdings during processing.

¨      Participates in monthly departmental meetings.




Completion of Library & Information Technology Diploma plus one to two years’ library experience or equivalent training and experience) is required.  Proficiency in MS Office (Word, Excel) and an aptitude for using a variety of software programs required.  Familiarity with computerized library systems required.  Excellent communication, time management and attention to detail skills required.  Ability to multi-task and to work effectively with the public, in a team environment, is essential.


Salary Range:  $22.28 - $27.17 per hour (35 hours per week). This is a 4-month term position, Monday – Friday 8:00 am-4:00 pm.
